Executive Assistant

Full-Time Position

The Armenian American Museum and Cultural Center of California is seeking an Executive Assistant who will be supporting the Executive Office as the organization plans for the historic groundbreaking of the cultural and educational center. The Executive Assistant will report to the Executive Director and collaborate with the senior leadership of the organization in the execution of duties.

Duties & Responsibilities

  • Greet visitors, answer incoming phone calls, and direct inquiries in a professional, polite, and positive manner.
  • Receive, sort, and direct incoming mail and manage outgoing mail for the office.
  • Process incoming donations and manage the donor acknowledgement process.
  • Produce professional reports, presentations, and correspondence for executives.
  • Coordinate appointments and meetings and manage executive calendars and schedules.
  • Provide support in the preparation of meetings and events.
  • Represent the organization by attending meetings on behalf of executives and maintaining accurate minutes for debriefing purposes.
  • Manage inventory of office supplies and place orders as necessary.
  • Organize and maintain the administrative office’s filing system.
  • Manage the organization’s mailing list for campaigns and communications.
  • Perform minor accounting and bookkeeping duties to support operations.
  • Provide additional support to the Development Office and Communications Office as directed.

  • Strong organizational skills and ability to multitask and meet deadlines.
  • Exceptional attention to detail.
  • Ability to act as gatekeeper and escalate relevant information as needed.
  • Ability to work effectively with minimal supervision.
  • Strong interpersonal skills.
  • Ability to treat confidential information with appropriate discretion.
  • Skilled in the use of standard office equipment (e.g., copiers, phone systems, projectors).

Education & Experience

  • Bachelor’s Degree required.
  • 2-3 years of administrative or related experience.
  • Experience managing digital content.
  • Proficiency with Microsoft Office and Google Drive platforms.
  • Proficiency in English and Armenian languages preferred.

Employment Type

Full-Time Position


$42,000 to $48,000
